EXECUTIVE ASSISTANT TO THE PRESIDENT

TARGET START DATE: Immediately

TIME COMMITMENT: 20 hours distributed throughout the week with flexible arrangement

DURATION: Permanent

SALARY: Commensurate with qualifications and competitive with the NFP sector

LOCATION: Zeeland, Michigan

OVERVIEW OF THE ORGANIZATION

Multiplication Network Ministries (MNM) is a Christian charitable organization providing church planter training worldwide with the vision to see a healthy church representing the Kingdom of God in every community. We have experienced incredible growth in the past five years, increasing from 300 church planters trained to 3,000 church planters trained annually. As part of continuing our growth, we are in immediate need of an Executive Assistant to the President. The Executive Assistant will be an individual who recognizes and has faithfully responded to God’s call to utilize God-given technical and interpersonal skills and personal attributes for God’s glory and in the service of MNM’s Christian mission.

EXECUTIVE ASSISTANT RESPONSIBILITIES

This person should be comfortable dealing with a wide variety of work in supporting the president and, at times, interacting with ministry colleagues, partners and donors effectively and diplomatically. Specific responsibilities include:      

  • Supports the president in all administrative functions including preparing and managing correspondence, maintaining files, preparing charts and graphs, monitoring and recording expense accounts, scheduling meetings, arranging travel and collecting reports from team leaders
  • Coordinates meetings including schedules, locations, agendas, room set-up and preparation of handout materials
  • Manages files and archives for personal meetings
  • Arranges travel for the president and any other colleague as requested
  • Organizes and submits president’s expense accounts  
  • Enters all donor conversation and correspondence notes into the database
  • Runs donor reports as requested
  • Keeps calendar and reminds president of upcoming commitments
  • Proofreads written material for proper spelling, grammar, appearance, and edits documents to ensure adherence to established standards
  • Upon request, acts as project manager on special projects, including preparing presentations, distributing information, coordinating mailings, etc  
  • Responds to routine requests for information
  • Monitors project schedules to ensure the communication of key dates to stakeholders
  • Willing to make basic presentations of the organization to churches and mission committees
  • Helps prepare and track proposals for donations

EDUCATION

Education must include at least a college diploma or degree

EXPERIENCE

  • Minimum 5 years’ experience as an Executive or Administrative Assistant
  • Experience coordinating and booking international travel arrangements preferred
  • Experience coordinating senior management level meetings

TECHNICAL SKILLS

  • Intermediate/advanced Microsoft Office skills (Word, Outlook, Publisher, Excel, PowerPoint) & internet research
  • Excellent verbal and written communication skills
  • Exceptional attention to detail, with the ability to see the “big picture ”
  • Advanced organizational and time management skills
  • Excellent event planning skills
  • Knowledge of Spanish or other language a plus

INTERPERSONAL SKILLS AND PERSONAL ATTRIBUTES

  • Able to handle confidential information
  • Excellent service and interpersonal skills: experience interacting with people from diverse cultures and backgrounds
  • Proven ability to work collaboratively with all levels of management and staff, inside and outside the organization
  • A self-starter with the ability to work independently
  • Very reliable, with the ability to take the initiative, problem-solve, and implement solutions
  • Flexible and adaptable to changing conditions, work assignments and teammates
  • Able to multitask, prioritize, and work well in a busy environment
