In part 2 of this Church Data Storage tutorial series (part I found here), we are going to create the lists that are useful in a CRC context. Of course you can use different lists but this how we did it. Basic instructions for creating lists can be found here.

For all lists, you can separate active vs. non-active people using the checkbox ‘include inactive profiles’ at the bottom (when you are creating the rules).

The list we use includes:

Active Adults

  • Include people, personal, membership type, is member
  • Include people, personal, adult/child, is, adult

Active Children (same as #1 but child)

Active People (same as #1, but use a only)

Deacon – Active no Number

  • Exclude people, deacon, donationNumber, contains, (blank)
  • Include people, personal, adult/child, is, adult
  • Include people, membership, membership class, is, Professing Member

Deacons - Inactive Donation Numbers

  • Change Rule from ‘all’ to ‘any’ of these conditions
  • Include people, personal, inactive reason, is, moved
  • Include people, personal, inactive reason, is, New Church
  • Include people, personal, inactive reason, is, Transferred to CRC/URC
  • Include people, personal, inactive reason, is, Lapsed
  • Include people, personal, inactive reason, is, Deceased
  • Include people, personal, inactive reason, is, Unknown/Not Active

Deacons – Donation Numbers

  • Include people, deacon, donationNumber, contains, (blank)

Elder – Active People without an Elder

  • Include people, Membership, elder, is, unanswered

Elder – Complete Elder List

  • Change Rule from ‘all’ to ‘any’ of these conditions
  • Include people, membership, elder, is (elder1)
  • Include people, membership, elder, is (elder2), etc, etc.

Elder – (Elder 1 Name)

  • Include people, membership, elder, is, (elder 1)
  • Create a new list for each elder the same way

Entire Database

  • Include people, created, after, 07/01/1996

Inactive Peple

  • Include people, personal, membership status, is, inactive
  • Check the box on the bottom to ‘include inactive profiles’

Potential POF People

  • Include people, membership, membership class, is, Baptized Member
  • Include people, personal, age, at least, 18, years
  • Include people, personal, membership status, is, active

Teens

  • Include people, personal, age, between, 13, and 19, years

Widow/Widower

  • Include people, personal, marital status, is, widowed

Obviously you can create your own lists based on your needs but this is what we found helpful. The elder stuff is the most time consuming in the beginning but it saved time later.
